Event Policies

These policies apply to all accepted artists. By submitting an application and paying the booth fee, you agree to the terms below.

Original Work

All work exhibited must be original and made by hand by the accepted artist. Work produced by someone else and resold is not permitted under any circumstances.

Prints are welcome if they are hand-pulled originals — monoprints, etchings, woodblock, letterpress, screen printing, and similar processes. Reproduction prints, giclées, or inkjet copies of existing work are not eligible as primary work. If reproductions are sold alongside original work, they must be clearly labeled as such and may not exceed 20% of your display.

Work Consistency

Work exhibited at winterROCs must be consistent with the images submitted in your application. Arriving with work that is substantially different from what the jury reviewed is grounds for removal without refund.

Artist Presence

Accepted artists must be present in their space for the full duration of both the Friday VIP Preview (7:00–9:00pm) and the Saturday fair (10:00am–4:00pm). Assistants may be present but should not staff the space alone. Artists who need to leave due to an emergency must notify the winterROCs team immediately.

Display and Conduct

Displays must meet the presentation standards described on the For Artists page. The winterROCs team reserves the right to ask an artist to modify their display before the event opens if it does not meet those standards.

Displays must remain fully intact until 4 pm on Saturday. Early breakdown disrupts the experience for collectors still in the room and for neighboring artists.

The winterROCs team reserves the right to ask an artist to remove work that was not represented in their application, is inconsistent with these policies, or contains explicit sexual content, graphic violence, or other material unsuitable for a general public audience including children. Artists who do not comply after being asked to do so may be asked to leave without refund.

Pricing

All work must be clearly and visibly priced at all times during both the preview and the fair. Listing “price available upon request” is not permitted.

Space Assignment

Booth spaces are assigned by the winterROCs team. Location requests will be considered but cannot be guaranteed. Space assignments are not transferable between artists.

Cancellation — Artist

Cancellations must be submitted in writing to hello@winterrocs.com.

  • Before February 1, 2027: booth fee refunded in full

  • February 2-March 1, 2027: 50% of booth fee refunded

  • After March 1, 2027: no booth fee refund issued

The $20 application fee is non-refundable in all circumstances. Waitlisted artists will be contacted to fill vacated spaces when possible.

Cancellation — winterROCs

If the event is cancelled due to circumstances beyond our control, accepted artists will receive a full refund of their booth fee. Application fees are non-refundable in all circumstances.

If the event is postponed rather than cancelled, accepted artists will be offered the choice to transfer their space to the new date or receive a full refund of their booth fee.

Liability

winterROCs and the event venue are not responsible for theft, loss, or damage to artwork or personal property during load-in, the event, or breakdown. Artists display and sell work entirely at their own risk. Artists are encouraged to carry their own insurance for artwork in transit and on display. winterROCs carries event liability insurance for the duration of the fair.

Photography and Promotion

The winterROCs team may photograph artwork and artist displays for use in promotional materials, social media, press, and future marketing. Artist credit will be provided. Artists who wish to opt out must notify us in writing before the event at hello@winterrocs.com.
