This privacy policy explains what information winterROCs collects from visitors to winterrocs.com, how we use it, and what choices you have. We keep this simple because our data practices are simple.
What We Collect
When you sign up for our newsletter:
Your name and email address. That's it.
When you submit an artist application:
Your name, business or studio name, mailing address, phone number, email address, website URL, Instagram handle, a description of your work and practice, images of your work and display setup, exhibition history, and logistics information relevant to your participation. You provide all of this voluntarily as part of the application process.
When you purchase a ticket:
Payment is processed through Squarespace's payment system. winterROCs does not store your credit card number or full payment details. We receive confirmation of your purchase and the contact information associated with it.
When you visit this site:
Squarespace, our hosting platform, automatically collects standard website usage data — pages visited, time spent on the site, browser type, and general location data. This information is aggregated and anonymous. We use it to understand how people use the site and to improve it. Squarespace may also place cookies on your device. You can manage cookie preferences through your browser settings.
How We Use It
Your email address is used to send you updates about winterROCs — event announcements, artist news, and related information. We do not send your email address to third parties or use it for anything other than winterROCs communications.
Your artist application information is used to administer the jury process, communicate with you about your application status, and if accepted, coordinate your participation in the fair. Application images may be used in winterROCs promotional materials as described in the Event Policies.
Purchase information is used to confirm and manage your ticket or registration.
Site usage data is used internally to understand how the site is performing. We do not sell this data or use it to identify individual visitors.
Who We Share It With
We do not sell, rent, or trade your personal information to anyone.
We use Squarespace to host this site, process payments, and manage email signups. Squarespace processes data on our behalf and is subject to its own privacy policy, available at squarespace.com. We do not use any other third-party marketing, analytics, or data services at this time.
If we are required by law to disclose information — for example, in response to a court order — we will do so.
Your Choices
Email list: Every email we send includes an unsubscribe link. You can opt out at any time and we will remove you promptly. You can also email hello@winterrocs.com to be removed manually.
Artist application data: If you would like us to delete your application information, contact us at hello@winterrocs.com. Note that if you are an accepted artist, we retain the information necessary to administer your participation through the event and for a reasonable period afterward.
Cookies: You can disable or manage cookies through your browser settings. Some site functionality may not work correctly if cookies are disabled.
Data Retention
Newsletter email addresses are retained until you unsubscribe or request removal.
Artist application data is retained for the duration of the application process and, for accepted artists, through the event and for one year afterward. We retain this information in case questions or disputes arise after the event.
We do not retain payment card details. Purchase records are retained as required for accounting and tax purposes.
Children's Privacy
This site is not directed at children under 13 and we do not knowingly collect personal information from anyone under 13. If you believe a child has submitted information to us, contact us at hello@winterrocs.com and we will delete it.
A Note on GDPR
If you are located in the European Union or European Economic Area, you have additional rights under the General Data Protection Regulation, including the right to access, correct, or delete your personal data, and the right to object to or restrict certain processing. To exercise these rights, contact us at hello@winterrocs.com. Because winterROCs is a small regional event based in Rochester, New York, we do not anticipate significant data collection from EU residents — but we want to be transparent about your rights regardless.
Changes to This Policy
If we make meaningful changes to this policy, we will update the date at the top of this page and make a reasonable effort to notify newsletter subscribers. Continued use of the site after changes are posted constitutes acceptance of the updated policy.
